Almost all of it is decided in the eight weeks before the event. Here is the sequence we recommend to corporate planners booking in New York.
Eight weeks out: hold the room
Pick a date range rather than a single date, and hold the best available room inside it. December Tuesdays and Wednesdays are far easier to secure than Thursdays, and your team will notice the venue long before they notice the day of the week.
Six weeks out: settle format and food
- Reception or seated? Reception keeps people mixing across departments.
- Passed hors d'oeuvres for the first hour, stations or a buffet after.
- Confirm dietary requirements early — it changes station design, not just labels.
- Set the bar package and decide whether it runs all night or converts partway.
Four weeks out: send the invitation properly
One calendar invite with the address, nearest subway lines, start and end time, and a dress note. Add the venue link so people can see where they are going. Attendance climbs measurably when the invitation answers every logistical question in one screen.
Two weeks out: build the run of show
Even a casual party benefits from a spine: doors at 6:30, remarks at 7:45, food refresh at 8:15, last call at 10:30. Share it with the venue coordinator so the kitchen and bar move with you rather than behind you.
Event week: confirm the final three numbers
